Follow-Up Email After an Interview (With Templates)

When to send a thank-you email, how long to wait before following up, what to write when you hear nothing, and three short templates you can adapt.

Most candidates finish an interview and then simply wait. A short, well-timed follow-up email does three things: it thanks the interviewer, it reminds them of your strongest point while the decision is still open, and it shows the kind of professionalism they would get if they hired you. It will not rescue a bad interview, but between two close candidates it can tip the balance. The key is timing and keeping it short.

The thank-you email: within 24 hours

Send a thank-you email on the same day or the next working day. Address the person who interviewed you, by name; if there were several interviewers, send each a short individual note or one email to the recruiter that names them. Thank them for their time, mention one specific thing from the conversation — a project they described, a challenge the team faces — and connect it to one thing you bring. Keep it to four or five sentences. In Indonesia it is normal to write in English for roles at multinationals and tech companies, and in formal Bahasa Indonesia for many local companies; match the language the interview was held in.

Template 1: thank-you email

Subject: Thank you — [Role] interview. Dear [Name], thank you for taking the time to speak with me today about the [Role] position. I especially enjoyed hearing about [specific topic from the interview]. It confirmed my interest in the role, and I believe my experience with [relevant skill or result] would help the team [goal they mentioned]. Please let me know if you need anything else from me. Best regards, [Your name].

When to follow up if you hear nothing

If the interviewer told you when to expect an answer, wait until that date has passed, then add two or three working days. If they gave no timeline, wait about one week after the interview. Then send one polite check-in asking about the status of the process. If there is still no response, a second follow-up a week or two later is reasonable. After that, stop: one thank-you and two follow-ups is the limit before persistence starts to count against you. Keep applying elsewhere while you wait — never pause your search for one company.

Template 2: first follow-up

Subject: Following up — [Role] interview on [date]. Dear [Name], I hope you are well. I am following up on my interview for the [Role] position on [date]. I remain very interested in the role and in [company goal or project]. Could you share an update on the timeline for next steps? Thank you again for your time. Best regards, [Your name].

Template 3: second follow-up, keeping the door open

Subject: [Role] — checking in. Dear [Name], I wanted to check in once more about the [Role] position. I understand hiring decisions take time. If the role has been filled, I would appreciate knowing, and I would be glad to be considered for future openings at [Company]. Best regards, [Your name]. This version gives the recruiter an easy way to reply even with bad news, which is often what stops them replying at all.

Common mistakes

Writing a long email that re-argues your whole interview. Sending a follow-up the day after a thank-you. Following up on WhatsApp or by phone when the recruiter has only ever used email. Copy-pasting the same email to every interviewer. Sounding impatient ('I have not heard back yet ...'). And the most common one: forgetting to follow up at all because you lost track of which company you interviewed with and when.

Keep track of follow-ups with Apto

Apto's application tracker keeps every application in one place with its stage and dates, and flags when a follow-up is due: a week after you apply, five days after a phone screen and two days after an interview. When one is due, Apto drafts a short follow-up email based on the role and company, which you can edit and send yourself. No more losing track of who you were waiting on.
